The Way We Produce Events Is Changing...

Picture
The way we produce events is changing and the future of events is most certainly Hybrid…

But what is a Hybrid event?

It may initially sound daunting for your next event to include both in-person and virtual elements, however, with the right Event Production and Management team in place, this new shift should be easy to adopt.

Since the Pandemic hit, many organisations have had to limit the number of in-person attendees to allow more room for social distancing, sanitisation and general safety.

On top of this, with many people still unable to travel, Hybrid events allow organisers to ensure their events are still accessible for a wider audience, without restriction.

Here are some key reasons your company should be talking about Hybrid events:

  1. They allow greater flexibility as to how your audience can attend.
  2. They hugely increase your marketing opportunities.
  3. They broaden the ways in which your audience engage.
  4. They offer greater networking opportunities.
  5. They are an opportunity to showcase new and exciting technologies.
  6. They can reduce environmental and travel costs.
  7. They allow for a wider range of valuable sponsorship opportunities.
  8. Your guests will be able to re-watch and save recorded content, keeping your event at the forefront of their mind.
  9. They can supply you with valuable audience data.
  10. They address the changing needs of your audience in a post-pandemic world.

So, whether you’re planning to take your physical event online, or looking to create a new event from scratch, Melt Productions are here to help leaving you feeling confident to jump feet first into this new way of working.

The Virtual & Hybrid Future Of Events

5/3/2021

Picture
With the current inability to host face-to-face events, the future of events for the foreseeable is undoubtedly going to be a combination of Virtual and Hybrid events...

What are Virtual and Hybrid events?

  • A Virtual event is an event that is hosted entirely online, most likely through an online platform such as Hopin.
  • A Hybrid event combines a physical, in-person event alongside virtual equivalent, allowing attendees to access some or all of the events' components.

There are a few trends emerging when it comes to hosting hybrid events; Many organisations are limiting the number of in-person attendees, to allow more room for social distancing, sanitisation and general safety.

On top of this, with many people still unable to travel, Hybrid and Virtual events allow organisers to ensure their events are still accessible for a wider audience, without restriction.

Here at Melt Productions, we firmly believe in the power of events to bring your employees, colleagues and associates together, (even though, for now, we may be far apart!)

Just because we are unable to meet in person, there are still a whole host of creative ways we can (and should) continue to connect.

Here are some key reasons your company should be talking about Hybrid and Virtual events:

  • Virtual & Hybrid Events Allow You To Get Creative In Ways You Never Have Before:

Thinking outside the box is something we specialise in here at Melt Productions, not only this, we love a challenge when it comes to discovering new ways to actively engage with an audience.

Virtual and Hybrid events may have a slightly impersonal stigma attached to them, but there are now so many amazing options to ensure this is no longer the case.

From luxury gift boxes and hampers to send out to your guests, to virtual workshops,  immersive gaming experiences, live acts, comedy, theatre, the list really is endless.

Where there's a will, there's a way, and in reality, many of the aspects of a physical event can be transferred to a Virtual or Hybrid event.

Here at Melt, we are confident we can turn all of your ideas into a reality!

  • Virtual & Hybrid Events Allow For More Flexibility:

With the current uncertainty of how and when the world will be able to "get back to normal", or if it ever will, the diversification as to how an event is produced is fundamental.

With all the excellent virtual platforms that are currently on offer, there is no need for us to simply stop creating events, the key is to adapt and get creative.

Virtual and Hybrid events allow for so much more flexibility when it comes to event planning; for medium/large physical events, the idea of downsizing could save you a huge amount of budget, time working through logistics, travel and accommodation costs, hospitality, staffing fees and so on... But it doesn't mean these elements need to be scrapped completely, far from it, going Virtual or Hybrid allows for a whole new event format to shine through!

  • They Keep Your Audience Connected:

Whether you plan to host an online workshop, livestream a performance, or host a multi-session industry conference, Hybrid and Virtual events are a way to keep your audience connected.

There are a variety of tips and techniques we use to help encourage connection between guests:

  • Create natural pause points for people to offer their own input.
  • Your guests will only be able to give their attention for so long. Zoom fatigue is real, so keep it interesting by using platforms that include live chat features, live polls, Q&As, breakout rooms, networking sessions and a mixture of live and pre-recorded content.
  • Allow your your guests to comment, vote, or ask questions about the content. These will also break down the barrier between guests and speakers.
  • Enlist a engaging speakers/performers/talent.
There’s nothing worse than getting into a virtual event and realising that the speaker is on autopilot about their content. Make sure your speakers are excited, knowledgeable, and organised.
  • Ensure your technology is up to the task. This means researching the best platform for your event. Different events will have different requirements, we will only ever recommend the best technology for your event.

  • They Are Something To Look Forward Too:

Right now, it's hard to look too far into the future and not feel a slight sense of unease. If there's one thing the Pandemic has taught us, it's that keeping positive is vital to help support everyones mental and physical health.

With the lack of holidays and celebrations across the board, now more than ever, people need something to look forward too.

Events allow this to happen. They are the 'change of scene' or 'immersive escape' that many of us need right now.

  • Playing A Part In The Future Of Events:

Regardless to future of the COVID pandemic, the concept of Virtual and Hybrid events are here to stay.

Running your event in this way, opens your event to a much wider audience, simply from making it more accessible.

With the advanced nature of virtual event platforms, it's become increasingly easier to create a really solid event experience for you and your guests.

Speaking with many of our clients about their 2021 - 2022 event plans, almost half are already working with us to develop the Virtual and Hybrid nature of their events.

No more need to cancel or postpone your events, it's time to adapt; Virtual event technology has improved at incredible speed throughout 2020 and we are confident this will continue.

So, whether you’re planning to take your physical event online, or looking to create a new event from scratch, Melt Productions are here to help you create exciting events for your global audience. No travel required!

We are able to produce events of any shape or size; from small gatherings of a few dozen to huge conferences with hundreds of thousands of people. It doesn't matter how big or small, we will ensure you and your guests are having the best experience possible without having to meet face-to-face.

To discuss your Virtual or Hybrid event plans with us, please do get in touch via the 'Contact' page, we would love to hear from you!

Recognising The Importance Of Branding When It Comes To Marketing Your Events

3/3/2021

Picture
Branding is the art that is responsible for shaping your business... It certainly takes a lot of thought and creativity to make your brand stand out from the crowd.

Consistent and visually appealing branding will be what establishes your business identity successfully, as well as clearly highlighting what sets you aside from your competition.

To emphasise the importance of branding when it comes to marketing your events, we've put together some key points for you to consider...

GOOD BRANDING CREATES TRUST:

  • First and foremost, good Events Branding helps create trust… We all know a good relationship must be based on trust and this will ultimately be what leads to the success of your event… People need to trust that it’s going to be good!
  • Individuals are more likely to trust something that looks professional and is visually appealing. Also, if they have seen your branding before, it will ignite further confidence that what is being promoted is reputable.
  • The more frequently your branding is seen, the more trust that will be gained. With this, cross platform branding and marketing is key. Some people will ignore certain platforms because they don’t believe it will benefit them or is necessarily relevant to their demographic, or simply, they do not understand how to use it. However, it’s really important these platforms are not ruled out. For example, if we were producing marketing materials for an event aimed at the Higher Education demographic, we know that TikTok is one of the fastest growing platforms within the 18 - 24 age bracket, so would ensure this platform wasn’t ruled out when promoting an event. I also know that Instagram is now far more likely to reach the student market, over Facebook and video content and live content is going to engage with your audience far more than just photos.
  • A sense of pride and community can be created through trust of a brand, these values again are particularly important within an events setting. People need to trust that what is being promoted is going to:
  • HAVE PURPOSE: so events that create good engagement amongst the student and university staff environment.
  • BE INCLUSIVE: ensuring the events are accessible to all, whatever their background.
  • BE OF GOOD VALUE: that something has been gained from the event, to enhance their experience or nourish them in some way.

GOOD BRANDING INCREASES ENGAGEMENT:

  • The more visually appealing your Events Branding, the more likely people are to engage with your content… This is really important. It’s tough enough to stand out from the crowd with the sheer amount of content their is out there, so to be visually appealing is really essential!
  • The more attractive your branding is to your target audience, the more likely they are to share and comment via their Social Media channels (and beyond!) Research is fundamental when it comes to attracting your target market effectively. But also, being prepared to adapt and change your strategy if things aren’t working as you’d hoped.
  • If it really stands out, people will most certainly talk about it. Increasing engagement further through word of mouth. I’m a strong believer in getting creative when it comes to marketing and event campaigns and thinking outside the box.
  • Successful branding and marketing of events should induce an excitement within your demographic, that will ultimately mean it gains even more traction.

GOOD BRANDING CREATES RECOGNITION & AWARENESS:

  • Effective Event Branding will ensure you gain repeat success, people like what you do and they will come back for more.
  • Effective branding will ensure people familiarise themselves with what you do and what you are capable of producing. This is great for withholding a good reputation, obviously it’s also very important that the events that are being produced match the event marketing and peoples expectations.
  • Successful Event Branding will promote wider recognition and awareness of the type and style of events you put on. Again, hopefully resulting in repeat custom.
  • When familiar with an Event or particular Event Branding, people are more likely to subscribe to updates/ write reviews/ share and comment on Social Media channels etc, this will then increase your audience for each event as well as increasing your audience reach.
  • And finally, good branding should be memorable, resulting in further familiarisation and promotion from your target audience.

FURTHER THINGS TO CONSIDER WHEN IT COMES TO YOUR BRAND:

  1. Is your Events/ Events Branding inclusive? (Does it represent and include everyone within your demographic?)
  2. Does it have purpose? (Does your branding reflect the style of event you are looking to produce and promote?)
  3. Does your branding represent you and how you would like to be perceived? Is it memorable?
  4. Is your Event Branding visually stimulating? Will it appeal to your target audience?
  5. Does it look professional? Are you confident your demographic will engage with it?
  6. Are you prepared to adapt your approach if things aren’t working. Do you have a strategy in place for this?
